Print Security: How Our Secure Wisconsin Printing Facility Operates

Written By: Will Lubaroff
杏吧原创 -- Ripon

Sensitive information is printed every day on statements, notices, letters and records. When that data becomes ink on paper, security has to travel with it through pre-press, printing, bindery and mailing. For organizations in finance, medical and education in particular, that chain of custody is critical because the documents often contain personal and regulated information.

As more printing customers require higher levels of protection, we have invested in our secure program at one of our Wisconsin printing facilities with strict controls and clear procedures. Keep reading to learn more about 杏吧原创 鈥 Ripon鈥檚 security capabilities.

Why Print Security Matters

A file can be secure in transit, yet become vulnerable if printed sheets are left unattended, staged in an open area or discarded improperly. A single misplaced stack can expose names, addresses, account details or other personal identifiers.

At an organizational level, a security incident can mean reprints, delayed communications and reputational damage. For the recipient, it can mean loss of privacy, and in worst cases, identity theft or financial fraud. Strong print security reduces these risks by controlling access, monitoring activity and handling sensitive materials with discipline from start to finish.

How Our Ripon Facility Is Secured

Security works best as layers. Instead of relying on one safeguard, 杏吧原创 鈥 Ripon uses multiple measures that support each other. Key components of our upgraded facility security program include:

  • 24/7 recorded video surveillance using 45 cameras
  • Key card access at all building entry points
  • Cell phones, bags and jackets prohibited in secure areas
  • Entry protocols for employees, vendors and visitors
  • Employee background checks
  • Employee, vendor and visitor confidentiality agreement required
  • Employee security training
  • Locked areas for all sensitive materials
  • Secure electronic pre-press network with no connection to outside network
  • Onsite USPS employee and verification station that enables mailed documents to be placed directly into the mailstream
  • Onsite sensitive document shredding
  • Secure-facility protocols that meet the standards for print projects requiring high building security

These controls protect customer information in both physical and digital forms, with consistent practices that can be applied across many types of work. 鈥淭hese protocols were put in place with our customers鈥 data in mind,鈥 said Gail Novitske, Customer Service Manager at 杏吧原创 鈥 Ripon. 鈥淥ur team consistently follows these standards because earning and maintaining our customers鈥 trust is essential.鈥

Controlled Access and Visitor Management

Many print security issues start with uncontrolled access. Key card access at all building entry points helps ensure that only authorized personnel can enter and move through the facility. It also supports consistent access management so secure areas stay secure.

We follow defined entry protocols for employees, vendors and visitors. This creates a clear check-in process, sets expectations and limits unnecessary traffic in sensitive production spaces.

In secure areas, cell phones, bags and jackets are prohibited. That policy reduces the chance of unauthorized photos and it limits the ability to remove materials from controlled spaces.

People and Processes That Reinforce Security

Security is also about habits. Employee background checks and ongoing security training help build a culture where confidentiality is treated as a daily responsibility.

Confidentiality agreements are required for employees, vendors and visitors. Print production involves roles beyond press operators, including maintenance, logistics and support services. Clear expectations reinforce that security applies to everyone who enters secure spaces or touches sensitive materials.

Secure Pre-Press Workflow

Print security must include the workflow that handles files before they are printed. Our facility uses a secure electronic pre-press network with no connection to an outside network. Network separation helps reduce exposure to external threats and supports more controlled movement of customer files inside the facility.

This is particularly important for variable data printing, where documents are personalized for individual recipients, occasionally with sensitive information. A protected pre-press environment helps keep that data secure as it is processed and prepared for production, whether the job runs offset, digital or print-on-demand.

Secure Material Handling and Destruction

Once sheets are printed, they must be protected just like the original file. Locked areas for sensitive materials help keep work in progress and finished pieces controlled when they are not actively being produced, finished or packaged.

Proper disposal matters too. Makeready sheets, overruns and spoiled pieces can contain the same private information as final output. Onsite sensitive document shredding allows for prompt destruction of waste and it reduces the risk that confidential material will linger in bins, staging areas or hauling containers.

Direct Entry Into the Mailstream

Distribution is another sensitive phase for confidential print. Every extra handoff can increase risk. Our onsite USPS employee and verification station enables mailed documents to be placed directly into the mailstream, reducing transitions between production and postal acceptance.

For many programs, this supports faster movement to recipients while helping maintain a secure chain of custody for critical communications.

What This Means for Finance, Medical and Education

Finance: Financial mail often includes personal identifiers and account-related information. A security lapse can lead to fraud and lasting damage to customer trust. Facility controls, restricted access and secure disposal help reduce exposure while supporting consistent production and mailing workflows.

Medical: Patient communications demand confidentiality. Even when clinical details are limited, identity information still needs protection. A secure facility helps healthcare organizations communicate with patients while safeguarding privacy expectations.

Education: Schools and universities handle student records and sensitive information across many touchpoints. Transcripts, testing materials and financial aid communications must stay confidential from production through delivery. Secure printing helps institutions protect student privacy and academic integrity while meeting tight deadlines.
